RE: Report No. 013-02, Carryforward of Unspent Funds in Trustee Accounts

PURPOSE:
To carryforward unspent funds in Trustee professional development and constituency
communications accounts.
BACKGROUND & STATUS:
2. Policy P.003.GOV Board Member Professional Development and Constituency Communications,
Section 3.7 states:
'"The Board may authorize, before 31 August in any year, the carryforward
of any unspent funds in Board members' individual accounts under this
(W policy, save that, in an election year, any such funds carried forward
must be used prior to the end of the Board's term of office."
An update on the status of professional development and communications accounts
will be sent shortly to individual trustees in preparation for the final report, containing
itemized expenses under each category, which will be included on an agenda for a September or
October meeting.
4. At this time, staff is unable to provide final totals for each account as we are awaiting receipt
of expenses from some trustees for activities undertaken during the summer months.
5. The recommendation has, therefore, been worded in general terms so that there will be a
carryforward of all unspent amounts in trustee accounts when the exact amounts have been
determined.
6. Each Trustee will be informed of the exact amount carried forward under each category at a
later date.
RECOMMENDATION:
THAT any unspent funds remaining in individual Board member's professional development
and constituency communications accounts be carried forward to next year.
