OTTAWA CARLETON
DISTRICT SCHOOL BOARD
26 June 2000
Report No. 00 -158 to Board
Re: Anticipated Summer Projects
Rose -Marie Batley, Superintendent of Facilities and Physical Planning
Udo Friesen, Manager of Physical Facilities & Design & Construction Services (Acting)
To provide information to Trustees on anticipated projects that are now underway and expected to be
complete by December 2000.
STATUS:
2. In an effort to communicate the extent of the system wide work to be undertaken over the summer a list
of projects or work in progress has been prepared. The information is attached with the following
comments.
2.1 The work resulting from the ongoing Energy Performance Contract has not been listed. In
general the work includes the supply and installation of building automation systems, some
electrical to gas fuel conversions and the upgrading of some mechanical systems. It is expected
that about 40 schools will be affected between now and January 2001.
2.2 The anticipated projects are listed, by school and estimated value, on the attached pages.
APPROVED BUDGET $ 9,250,013
PROJECT BUDGET 6,852,500 (Appendix A)
EXPENDITURES to date 2,558,582
$ 9,411,082
BUDGET SHORTFALL $ (161,069)
2.3 Project adjustments will be made to match budgets to expenditures. Projects resulting in the most
disruptive activities will be scheduled for completion over the summer. The balance of work is
expected to be complete by December 2000.
3. A portion of the FRP budget is allocated to the Superintendents in order to address Program related
issues and upgrades. A list of approved projects for each Superintendent is attached (Appendix B).
4. It should be noted that there are about 356 discrete projects listed and many more will be added as
requests and system needs are processed. There are about 57 working days to September school start and
about 140 working days to the end of December.
g 1.
5. Priorities are established by the Design and Construction Services Department in consultation with the
Plant Supervisors using information available from site reviews and work completed to date. Life cycles
of components are considered in the timing of the projects. The most needy priorities are addressed
within the confines of the budget allocation and the variety of components to be covered.
6. The Long -Term Accommodation Plan (required by the Ministry of Education in October 2000) will
identify funding shortfalls and provide short term (5 years) and long term (15 years) projections of needs
and a process to assist in prioritizing these needs.
Submitted for information.
