HomeMy WebLinkAboutPR 600 HR - Tuition Reimbursement For Administrative And Support Staff OTTAWA-CARLETON DISTRICT SCHOOL BOARD PROCEDURE PR 600 HR TITLE: TUITION REIMBURSEMENT FOR ADMINISTRATIVE AND SUPPORT STAFF Date Authorized: November 1999 Last Revised: 09 September 2025 Last Reviewed: 09 September 2025 COMMITMENT TO INDIGENOUS RIGHTS, HUMAN RIGHTS, AND EQUITY The District recognizes its responsibility to ensure that this procedure promotes and protects Indigenous rights, human rights, and equity. The District will strive to address and eliminate discrimination and structural and systemic barriers for students, staff, and the community. 1.0 RATIONALE To provide guidelines for the approval and reimbursement of tuition of courses for administrative and support staff. 2.0 DEFINITIONS Please refer to Appendix A for the definitions of terms used in this procedure. 3.0 RESPONSIBILITY 3.1 The Leadership and Staff Development Division of Employee Services is responsible for administering the procedure, including final approval of applications. 4.0 PROCEDURES 4.1 Educational assistance in the form of a subsidy may be paid to qualifying administrative and support staff upon successful completion of approved courses, which may include courses offered by a university, community college, or recognized professional association. 4.2 Educational assistance is available for permanent full-time, and for part-time administrative and support staff members, from the start date of their permanent employment. Casual / term employees are not eligible. 4.3 Educational assistance for fees of courses will be capped to: a) 75% of tuition fees for courses directly relevant to the employee's current job and responsibilities; and -1- PR 600 HR b) 50% of tuition fees for courses that support the employee's professional growth plan, contributes to organizational succession planning, or addresses an identified or anticipated skill shortage. 4.4 Funding, approvals, and employee allocations will be based on the school year for courses starting and completed between September 1 st to August 31 st of each year. 4.5 Reimbursement will be limited to a maximum of $500 per course. The maximum amount reimbursed per employee per school year (including summer courses) will be $1,000. 4.6 The reimbursement will not apply to courses completed by an employee while the individual is on paid or unpaid leave from the District. 4.7 Requests for support to attend conferences or outside seminars are not covered under this procedure. These requests should be submitted to the appropriate Supervisor for consideration. 4.8 Requests for tuition reimbursement, OCDSB 575 Tuition Reimbursement Application Form - A&S Staff, will be approved by the Team Manager, Staff Development, or delegate. Final approval will be based on meeting the criteria and subject to available funds. 4.9 Applications must be submitted prior to the commencement of each course. Failure to do so will disqualify the application. Retroactive reimbursements will not be considered. 4.10 Reimbursements will be processed following the successful completion of the course. Proof of successful completion and payment is required to complete the reimbursement. 5.0 APPENDICES Appendix A: Procedure Definitions Appendix B: Tuition Reimbursement Application Form - A&S Staff 6.0 REFERENCE DOCUMENTS OCDSB Policy P 006 HR - Delegation of Authority -2- PR 600 HR APPENDIX A: PROCEDURE DEFINITIONS In this procedure, District means the Ottawa-Carelton District School Board. Supervisor means a person who has charge over a workplace or authority over a worker. This will include Superintendents, Principals, Vice-Principals, Managers, Supervisors and others who, by organizational title or position description, have responsibility or authority over a worker(s) or a workplace. -3- PR 600 HR
