OCDSB 594SSP - EA/ECE Additional/Casual Hours Worked Timesheet (Jan 2021) Instructions for Completion of Timesheet outside of Easy Connect (To be submitted weekly per location). 1) Enter your current Employment Information – If clarification of your current job title is required to complete this section of the time sheet, contact HR Operations. 2) Provide details for Assignment Worked – If clarification of assignment offered is required, contact Principal/Manager. The SSP collective agreement outlines casual hours (applicable hourly rate) or additional hours (own rate or casual rate). 3) Hours Worked – Example: 3.50 (3 hours 30 minutes), 7.00 (7 hours). 4) Employee’s Signature – Submitting inaccurate information constitutes fraud and could result in disciplinary action up to and including termination. 5) Principal/Manager’s Signature –Determine appropriate rate of pay and ASN. Submit timesheet to HR if first time use of an Emergency EA/ECE (as per memo from SOI MacDonald “Protocol to fill your vacant ECE assignments” issued January 8, 2015). Submit to Payroll if EA/ECE working beyond their regular day or subsequent use of Emergency EA/ECE. Timesheet must be authorized by the Principal/Manager at that location. If you wish to have Emergency EA/ECE added to casual list in ATE, contact your HR Recruitment and Staffing Administrator to discuss Employee eligibility. 6) Principal is responsible for forwarding the completed timesheet to the HR or Payroll Department at the end of the week, in which the assignment was worked, in order to ensure payment on the next scheduled pay date. Timesheets can be submitted by OCDSB mail, or scanned through the photocopier to: Payroll – payroll@ocdsb.ca HR – casualssp@ocdsb.ca Easy Connect Electronic Timesheet • Do not complete this timesheet for part-time regular, term, and casual employees, who are on the applicable EA/ECE/EYE casual list in Easy Connect for the work being submitted. An absence must be created in Easy Connect (e.g. No Employee Absent; Professional Activity; ASN; Manual Fill) and the time sheet will be electronically submitted in the weekly export process. • Do not complete this timesheet when Employees have made themselves not available in EasyConnect. Follow up with the Employees to update their ATE calendars and then manual fill in EasyConnect. Hard Copy Timesheet In the event that an employee’s hours can not be entered in Easy Connect, a hard copy time sheet will be required: • emergency use of a lunch time monitor, who is not on the EYE list, who has been hired to replace an absent ECE (Easy Connect Contact Strategies exhausted); • additional hours worked beyond the normal work day for a regular employee who is not on the casual list; /!-- This code was added to remove the metadata from document view in Weblink -->
